1. Purpose & Scope
This AI Systems Register serves as the single source of truth for all artificial intelligence and machine learning systems deployed by [Organisation Name โ click to edit]. Under ISO 42001:2023 Clause 7.5, the organisation must maintain documented information of its AI management system. This register fulfils that requirement and supports our obligations under the UK Social Housing Regulation Act 2024.
All AI systems that process tenant data, influence housing allocations, assess arrears risk, or automate maintenance prioritisation must be recorded here. The register is reviewed quarterly and after any significant system change.
2. Registered AI Systems
Each AI system in active use must have a completed entry below. Add new entries as systems are deployed. Remove entries only when a system is fully decommissioned and all tenant data has been purged.

3. Governance & Review Schedule
The AI Systems Register is owned by the [Policy Owner โ click to edit]. It is reviewed at the quarterly AI Governance Committee meeting. The Data Protection Officer must be consulted before any new AI system is added to the register.
Systems classified as High or Critical risk must undergo an enhanced Data Protection Impact Assessment (DPIA) and be approved by the Board before deployment. The register is subject to internal audit on an annual basis. A summary of the register โ redacted for commercial sensitivity โ shall be made available to the Resident Scrutiny Panel upon request, in compliance with the Transparency Principle of the Social Housing Regulation Act.
